Cashback Sites vs Promo Codes: Tracking and Payout Rules
Cashback sites earn a commission when you click through to a store and buy, then pass part of it back to you weeks or months later. A promo code from somewhere other than the cashback site can override their tracking, and Rakuten, Quidco and CashKaro all warn it may cost you the cashback. If a code saves more than the cashback is worth, use the code; otherwise use only codes the portal lists.
How cashback portals work
You start on the cashback site, click through to the store, and buy as normal. The store then reports the order back. Rakuten says the store sends order details usually within 24 to 48 hours, the cash back shows as pending, and it becomes confirmed after the store's return period ends (Rakuten). TopCashback UK shows tracked orders as "In Progress", then "Available" once the retailer has paid, or "Declined" (TopCashback).
CashKaro says you must be signed in before clicking a deal: if you do not sign in you will not earn cashback (CashKaro). Rakuten says to activate cash back before adding items to your basket. None of the four sites' pages we read explains, in their own words, how the commission is shared, so we do not quote a split.
Tracking rules that decide whether you get paid
The rules are similar across the four sites:
- Turn off blockers and VPNs. Rakuten says ad blockers, VPNs and cookie blockers can stop tracking and to always accept cookies (Rakuten). TopCashback UK says to turn off VPNs, ad blockers and privacy software (TopCashback). Quidco and CashKaro also say no VPN.
- Clear cookies first. TopCashback UK, Quidco and CashKaro all advise clearing cookies before you shop.
- Do not visit other deal sites. Rakuten says visiting other rewards or coupon sites can override its tracking and void the cash back. Quidco says switching tabs or visiting other sites, including for price comparisons, can break tracking (Quidco).
- Finish in one session. Rakuten says to finish in the tab it opened and that long idle sessions can deactivate cash back. CashKaro's terms describe a single 30-minute session with pop-up blockers off (CashKaro terms).
- One extension, empty basket. TopCashback UK says to use only one cashback or voucher extension, keep one retailer tab open, start with an empty basket and click through separately for each order.
- Apps. CashKaro says most retailers do not allow cashback on their mobile-app orders.
Why an outside promo code can void cashback
The code you type is one of the signals a store uses to credit a sale to a particular partner. If the code belongs to another partner, the store may credit them instead, and the cashback site gets nothing to pass on. The sites put it this way:
- Rakuten: coupons not listed on Rakuten "may void Cash Back" because they can override tracking (Rakuten).
- Quidco: only use codes advertised on the retailer's Quidco page; otherwise cashback may not track or may be declined later (Quidco). Its declines page adds that third-party codes or paying with vouchers can invalidate cashback (Quidco declines).
- CashKaro: only use a code listed on CashKaro or directly on the retailer's own site (CashKaro). That is softer than the others, since the store's own codes are allowed.
- TopCashback UK: we found no official UK wording on outside codes. Its Australian site says cashback is ineligible on codes not approved and posted by TopCashback, but that is a different site's rule.
Paying with gift cards can also matter: Rakuten says some stores exclude orders paid with gift cards.
Timelines, payout dates and minimums
| Site | Market | Time to confirm | Minimum to withdraw | Missing-claim window |
|---|---|---|---|---|
| Rakuten | US | Typically 3–17 weeks pending; travel 45–120 days, dining 3–5 days | $5.01 confirmed before a payment date; paid Feb 15, May 15, Aug 15, Nov 15 | No deadline stated |
| TopCashback | UK | No fixed time; estimated date shown per transaction | Not confirmed | Retailers usually set about 100 days |
| Quidco | UK | Not stated on pages read | More than £1 confirmed | 45 days from purchase |
| CashKaro | India | Pending in about 5 minutes to 72 hours; confirmed in 48 hours to 90 days or more | Rs 250 confirmed | Official pages conflict: 10 days or 30 days |

CashKaro pays by NEFT bank transfer or Amazon or Flipkart gift cards, processed within 7 days; rewards cannot go to a bank account. Quidco says a VPN or being outside the UK can block withdrawals. Quidco Premium costs £1 per active month, taken from your cashback, and months with no shopping are free (Quidco Premium). We could not confirm TopCashback US terms at all.
Why cashback gets declined
Rakuten lists returns or cancellations, excluded items, categories or brands, most gift cards, tax and shipping, phone or customer-service orders, and outside coupons (Rakuten). Quidco says returning, cancelling or amending an order can break the link. CashKaro adds purchases judged not genuine, not being signed in, and account breaches. If a recorded order shows nothing, file a missing-cashback claim: Rakuten distinguishes a trip that was never recorded from one recorded at $0.
Code or cashback: how to choose
- Check the cashback rate for the store and what it would pay on your basket after tax and shipping, which Rakuten excludes.
- Check the codes the cashback site itself lists. On CashKaro, the store's own codes are also allowed.
- If an outside code would save more than the cashback, use the code and accept the cashback may not track.
- If you use cashback, follow the tracking rules: no VPN or blockers, clear cookies, one tab, empty basket, finish in one session.
- Keep the order confirmation until the cashback is confirmed, in case you need to claim.
Questions people ask
Can I use a promo code and still get cashback?
Only codes listed on the cashback site are safe. Rakuten says unlisted coupons may void cash back, and Quidco says third-party codes can invalidate it. CashKaro also allows codes shown on the retailer’s own site.
How long does cashback take to arrive?
Weeks to months. Rakuten says pending cash back typically takes 3 to 17 weeks, and it pays quarterly. CashKaro says confirmation takes 48 hours to 90 days or more. TopCashback UK shows an estimated date per order.
Why did my cashback not track?
The usual causes are an ad blocker or VPN, cookies blocked, visiting another deal site after clicking through, a long idle session, or ordering in a store app. File a missing-cashback claim within the site’s claim window.
What is the minimum payout?
Rakuten needs more than $5.00 confirmed before a payment date, Quidco more than £1 and CashKaro Rs 250. We could not confirm TopCashback minimums from official pages.
